Sticking to a new plan to get organized

Q: Between monthly budget projections, purchase receipts and tax documents, my office is being overrun with papers. Each year I promise myself I'm going to get this stuff organized, and each year it never actually happens. I'm frustrated and in need of a good plan. Any ideas? I need a system that can't fail.

A: Whenever trying a new system, commit to using it for a minimum of 21 days before deciding whether or not it's working for you. This means you must actually stick to the system for 21 days in a row. If you miss one day, you must start over. At the end of the 21 days, you can evaluate your system and tweak it if necessary.

To get your paperwork under control, I suggest you begin by using tools like poly expanding cases or poly expanding files. This one tool will hold all of your financial paperwork for the current year. To use it, simply label the tabs, and then begin filing your paperwork into it. Do this for 15 minutes each day, until all of your paperwork for the current year is filed inside.

At the end of the year, simply put all of your paperwork into a large manila envelope that closes, and put the entire envelope into a banker box for storage. You will be able to store several years' worth material in one banker's box.

Ultimately, you're the only one that can ensure that your system doesn't fail. There are many tools available to you, but you must commit to using them.
