Organizing the copy room
Q: What are some tips for organizing a busy copy area? We don't have a lot of space.
A: Most offices have their copy areas set up in very small spaces, so you're not alone. With a little bit of creativity you can make the most out of the space you have. Here are some ideas:
- Consider adding shelving to your copy area — either free standing if you have the space, or shelving that is attached to the wall(s). Very often, wall space is forgotten about. It's amazing what a few shelves can do to increase your available space. For example, with shelves you can store copy paper that might have been stored on the floor. Or, you can organize coping supplies in baskets on shelves, such as toner for your machine or paper clips.
- Install a flip up/flip down shelf. It will provide an instant work area where you or other staff members can temporarily set papers or files while using the copy machine. When it's in use, flip it down. When it's not in use, flip it up.
- Add plastic file pockets to the wall to hold copy machine manuals, instructions for changing the paper in the copy machine, etc.
- Remove anything from the copy area that doesn't belong there. This may sound obvious, but just in case you currently are storing something other than copy supplies in this area, those items should be moved to another appropriate place to free up space.
