What kind of binder do you need?
Round ring binder
Ideal for: Presentations, proposals, reports, and manuals.
Key features:
- Round ring size typically ranges from ½" to 3". Ring capacity generally ranges from approximately 100 to 460 sheets of paper (8½" x 11" hole–punched).
- 3 to 7 round locking rings stay aligned, preventing pages from falling out.
- A "non–stick" binder won’t lift print off laser–printed pages or photocopies.
- Opt for a binder with polypropylene plastic front and back covers. This material is acid–free for archival purposes and typically won't fade, tear, or crack.
- A binder with large interior pockets will allow you to tuck in documents that need to be easily accessed.
What’s available: Heavy–duty (most durable and offer the largest sheet capacity), standard, and economy binders (lightest weight). Plastic, durable vinyl, and pressboard binders come in a variety of colors and sizes. Pre–punched paper that’s ready to go into binders, as well as hole–punches that punch holes into standard paper.
D-ring binder
Ideal for: Presentations, proposals, reports, and manuals. A D–ring binder typically holds between 25% and 50% more paper than a traditional round ring binder.
Key features:
- Ring size typically ranges from 1" to 5". Ring capacity generally ranges from approximately 275 to 1,050 sheets of paper (8½" x 11" hole–punched). Locking D–rings stay aligned, preventing pages from falling out.
- Specially designed D–rings help papers lie flat, which makes turning pages easier and helps prevent pages from tearing.
- If you plan to open and close the binder frequently, look for a binder that has levers that snap the rings open or closed in one movement, instead of a binder that requires you to pull rings open or push them closed.
- A binder with large interior pockets will allow you to tuck in documents that need to be easily accessed. Some binders also offer interior pockets for computer disks or CD–ROMs.

Key features:
- Clear overlay on front cover, spine, and back cover that allows you to insert your own documents to customize the binder. A binder with a framed mounting sheet will prevent sheets from floating. A matte finish overlay reduces glare and softens appearance of inserts.
- Ring size typically ranges from ½" to 5". Ring capacity generally ranges from approximately 100 to 1,050 sheets of paper (8½" x 11" hole–punched).

- More flexible and lightweight than a traditional binder, but equally as durable and spacious without appearing oversized.
- Ring size typically ranges from ½" to 3". Ring capacity generally ranges from approximately 100 to 460 sheets of paper (8½" x 11" hole–punched).
- Made of a special material that prevents toner transfer from printed and copied pages. Binder wipes cleans with a damp sponge.
What’s available: Heavy–duty (most durable and offer the largest sheet capacity) and standard. Durable vinyl, leather–like, and pressboard binders that come in a variety of colors and sizes.
Data binder
Ideal for: Computer generated records and reports.
Key features:
- Made of heavyweight vinyl or pressboard. Vinyl is generally more durable than pressboard.
- Secures reports with locking rings or a sliding lock. Locking rings make adding and taking out pages easier as you do not have to remove the whole report. You can go directly to the spot, open the rings and add or remove documents.
- Holds between 2" and 6" of paper. Some are designed to expand as documents are added (generally expand to 6").
What’s available: Data binders that hold letter– or legal–size paper. Covers generally come in red, light blue, dark blue, and black.

Ideal for: Organizing and protecting the pages in your binder.
What’s available:
- Pre–printed indexes with tabs that have sequential numbers, alphabet, or months. Many are compatible with popular software programs, which allows you to print graphics and text on index pages. Write–in index pages also available.

- Thin, plastic sheet protector casings that shield papers from everyday use. Made of non–stick, acid–free material that won’t lift print and is archival safe.
